What to include in a contractors quote

Create contractor quotes instantly. Itemise labour, materials, equipment hire and taxes. A professional quotation should include all costs clearly so your client knows exactly what they are paying for before approving the work.

Contractor quotation format

A contractor quotation should let the client compare your price line by line against other bids. The format that works best splits the job into stages, with labour and materials shown separately:

  1. Project and site details: address, a short description of the work, and the date of your site visit.
  2. Itemised work: each stage or task with quantity, unit (m², linear metre, day), rate and amount.
  3. Materials: either itemised or as an allowance, with who supplies what.
  4. Exclusions: for example permits, skip hire, making good after other trades, or unforeseen structural work.
  5. Stage payments: for example 20% deposit, 40% at first fix, 40% on completion.
  6. Variations: how changes requested during the job are priced and approved (in writing, before the work).
  7. Validity, start date and duration.

Labour contractor quotation format (labour only)

When the client supplies materials, quote labour by unit of work so the price scales with the job:

Work itemUnitQtyRateAmount
Brickwork, 230 mm wallm²42$38$1,596
Internal plasteringm²120$14$1,680
Floor tilingm²35$22$770
Total labour$4,046

State clearly that materials, scaffolding and equipment hire are excluded (or list what you provide), and who is responsible for site clean-up.

Frequently asked questions

What should a contractors quote include?

A professional contractors quote should include your business name and contact details, the client name and address, a unique quote number and date, a validity date, an itemised list of all work, parts and labour, any applicable tax such as VAT or GST, and the total with clear payment terms.

How do I price a contractors quote?

Add up your material costs plus 10 to 15 percent for waste, your labour at your true hourly rate, and a 10 to 20 percent contingency for unexpected work, then add any applicable tax. Always state clearly what the price does and does not include.

Is a quote legally binding?

A quote is not binding until the client accepts it. Once they accept it in writing it usually forms the basis of a contract, so keep your scope of work and exclusions clear.

How long should a quote stay valid?

For most trades and services 30 days is standard. A validity date protects you from honouring old prices and gently encourages the client to decide.
